NMCC Membership Data Retention Policy

Purpose: This policy outlines how NMCC manages the retention, deletion, and secure handling of personal data for members who leave or are banned from the club, in compliance with GDPR and other applicable data protection laws.
Scope: This policy applies to all personal data collected and processed during membership registration, participation, and any other interaction with the club.
1. Retention of Personal Data
• Former Members: Personal data of members who voluntarily leave the club will be retained for up to 6 months after membership termination. This retention period allows for administrative purposes, such as resolving any outstanding matters or future re-enrolment.
• Banned Members: Personal data of members who are banned due to violations of club policies may be retained for up to 12 months to ensure compliance with safety, security, or legal obligations. Data required for long-term legal or security purposes (e.g., evidence of misconduct) may be retained longer if necessary.
2. Categories of Data Retained
During the retention period, the following categories of data may be stored:
• Membership details (e.g., name, contact information, membership number).
• Financial records (e.g., payment history, outstanding dues).
• Incident or complaint records (only applicable to banned members, if necessary).
Non-essential data will be deleted or anonymized as soon as it is no longer required.
3. Deletion of Data
At the end of the retention period:
• All personal data will be permanently and securely deleted using appropriate methods (e.g., digital wiping for electronic records, shredding for paper records).
• Anonymized records may be retained for statistical or analytical purposes.
4. Member Rights
Members retain the right to:
• Request immediate deletion of their data if it is no longer needed for legal or administrative purposes.
• Access a record of their stored data prior to deletion or anonymization.
• Challenge the retention or handling of their personal data.
5. Compliance
• The club ensures that all data processing complies with GDPR and other relevant data protection laws.
• Data security measures are maintained to prevent unauthorized access, alteration, or loss of personal data.
Contact Information: For questions or concerns about this policy, or to request data deletion, please contact the Chair Person or Secretary.
